Work backwards from the date that binds you
The only hard date in the chain is usually not yours - it is the day the venue, caterer or ticket office needs a number. Everything else is arithmetic: reply-by sits about five clear days before that, so you can chase the silent without panic, and the invitation goes out early enough that nobody is being asked to answer in a hurry.
Then tell guests what the deadline is for. A bare date reads as arbitrary and gets ignored; “reply by Tuesday, because I confirm the table on Wednesday” gets answered, because the guest can see what their silence costs you.
The timings, by kind of event
These are the windows the calculator uses - close to the standard etiquette ranges. Earlier is not automatically better: an invitation sent months ahead of a casual party gets an enthusiastic yes that nobody remembers by the week itself.

After the deadline: 48 hours, then move on
Send one reminder three days before the deadline, not on the day - people need room to check a diary. When the deadline passes, give it two days of grace and one personal text to each silent guest. After that, count them as a no and plan on the numbers you have: a firm internal cut-off beats a week of hoping.
If you are giving a venue final numbers, tell them you had a couple of non-responders. Most venues can absorb one or two extras they were warned about; none of them enjoy a surprise ten.
